Quality you can inspect, confidentiality you can audit
The corporate documents you send often contain figures not yet announced, names not yet published and strategy not yet executed. This page explains how we treat them.
Three sets of eyes before the stamp
-
Subject-matter translator
Selected by document sector, not just by language pair. For sworn translation the work is done by a translator certified by ministerial and gubernatorial decree, whose name appears on the file.
-
Second editor
Compares output against source line by line. The focus is not style but the things that actually cause rejection: figures, dates, names, article numbers and missing pages.
-
Final check before stamping
Confirms page format compliance, completeness of annexes, and fit with the intended use you stated — for example the format a particular embassy requires.
What most often causes rejection
In practice, rejections are rarely about language quality. The most frequent causes are a name spelled one letter differently from the passport, a date written in a different order, and annex pages left untranslated. All three sit on our mandatory checklist.
How to verify a translator's credentialsHandling sensitive documents
Non-disclosure agreements
We sign your company's NDA, or supply our template if you do not have one. The NDA is signed before the first file is sent, not afterwards.
Restricted access
Only the translator and editor assigned to your project can reach the files. Everyone involved is separately bound by confidentiality obligations.
File transfer
For high-value documents we provide a time-limited upload link instead of email attachments. Where your policy requires your own internal system, we work inside it.
Retention & destruction
Working files are deleted on the schedule agreed in the NDA. Where you need written confirmation of destruction, we issue it once the project closes.
What vendor due diligence usually asks for
- Copies of sworn translator certificates with their decree numbers
- Corporate legality documents for vendor registration
- A sample non-disclosure agreement and data retention terms
- A description of document handling from receipt through destruction
- Sector references, where the client concerned permits disclosure
- Liability terms and the dispute resolution mechanism
We keep all of the above ready as a single vendor registration pack. Mention it in your quote request and it travels with the first quotation.
